Client case study: Google Workspace migration

Moving Lago Communications from Google Workspace to Microsoft 365

Lago Communications wanted to replace a fragmented email and productivity setup with one familiar Microsoft environment.

Gooroo migrated the business to Microsoft 365 Business Standard and brought email, Outlook, Office and Teams into one practical working setup.

The migration also resolved everyday workflow issues, including access to a separate client inbox and problems with Microsoft Teams meeting invitations.

The result was a simpler technology environment that Roxanne could rely on without it demanding her attention.

“My tech stack is simple and integrated and never creates an issue, which is the ultimate.”

About Lago Communications

Lago Communications is a strategic public relations and communications consultancy.

The business has particular experience with property and corporate brands.

Lago works with clients through embedded marketing leadership and one-to-one strategic public relations support.

For founder Roxanne Millar, technology needed to support client communication without becoming another part of the business to manage.

Why Lago wanted Microsoft 365

Roxanne had previously worked in Microsoft-based environments and found the familiar tools straightforward to use. When running Lago Communications, she wanted to continue working with Outlook, Office and Microsoft Teams.

She had also invested in a newer Microsoft Surface laptop for the business. The goal was not simply to change email providers. Lago wanted a practical Microsoft 365 environment where email, Outlook, Office, Teams and the business computer worked together reliably.

Lago Communications

Moving email was only part of the migration

A Microsoft 365 migration can look simple when measured only by mailbox numbers. In practice, several connected parts must continue working together after the move.

For Lago, that included the business domain, email platform, Microsoft tenant, Outlook, Office applications, account sign-ins and Microsoft Teams. The migration also needed to preserve Roxanne’s existing client workflows.

Moving the mailbox alone would not have delivered the required result. The complete working environment needed to function properly once the migration was finished.

What needed to work when the migration was finished

Roxanne did not simply need email arriving in a Microsoft mailbox. She needed to open her Surface, launch Outlook and continue running Lago Communications normally. That meant the complete working environment needed to function properly.

Business email

Lago’s domain and email needed to operate correctly through the new Microsoft 365 environment.

Outlook

Outlook needed to provide a reliable day-to-day home for Lago’s email and related workflows.

A separate client inbox

Roxanne also works with a separate client inbox as part of her communications work. That inbox needed to remain accessible through Outlook without creating an awkward separate process.

Microsoft Office

The relevant Microsoft Office applications needed to operate under the correct business account.

Microsoft Teams

An issue affecting some virtual meeting invitations needed to be resolved. Teams had to work as part of the same business environment rather than as an isolated application.

Treating the migration as one working environment

Gooroo reviewed Lago’s existing setup before preparing the Microsoft 365 Business Standard environment. The migration was treated as one connected project rather than a collection of separate technical tasks.

Email, the business domain, Microsoft 365, Outlook, Office and Teams all needed to work together after the move. The goal was to give Roxanne a reliable working environment without leaving her to manage the technical dependencies behind it.

A joined-up business environment

The move needed to connect the business domain, email, Microsoft tenant, Outlook, Office and Teams as one usable working environment.

Everyday workflow issues

A separate client inbox needed to work through Outlook, and a Microsoft Teams issue was affecting virtual meeting invitations. A mailbox-only transfer would not have resolved the complete working requirement.

What Gooroo handled

Microsoft 365 foundation

  • Prepared the Microsoft 365 Business tenant
  • Connected the Lago Communications business domain
  • Configured the Microsoft 365 email environment
  • Planned the move from the previous Google Workspace and hosted-email arrangement

Day-to-day working environment

  • Configured Outlook
  • Set up the relevant Microsoft Office applications
  • Addressed access to the separate client inbox
  • Resolved the Microsoft Teams issue affecting virtual meeting invitations

Transition support

  • Supported Roxanne while the new environment settled in
  • Addressed practical issues affecting normal daily work
  • Kept the focus on the finished working environment rather than the mailbox transfer alone

Scope of delivery

A simpler Microsoft environment

After the move, Roxanne described Lago’s technology setup as simple and integrated. The email and Teams issues no longer consumed time that needed to go towards clients and the consultancy.

The new Microsoft 365 environment gave Lago a familiar set of business tools within one joined-up setup. Gooroo remained available when support was needed, while the technology itself became something Roxanne could simply use without having to think about it.

Ongoing support available when needed

“My tech stack is simple and integrated and never creates an issue, which is the ultimate. I spend my time running my business and supporting my clients, rather than dealing with annoying IT issues. And I know that if anything ever goes wrong, the guys are at the end of the line to help!”

Treating the migration as one working environment

A successful Microsoft 365 migration should eventually become unremarkable. Email arrives, Outlook opens, Office works, Teams works and the normal client workflow continues without interruption.

That was the outcome Lago Communications wanted from the move. The technology became part of the working day rather than something Roxanne needed to manage or troubleshoot.

What this project demonstrates

Lago was a small-business Microsoft 365 migration, but mailbox numbers alone did not define the project. The real scope depended on how Roxanne used email, Outlook, client accounts, Teams and the business computer each day.

Those dependencies can easily be missed when a migration is treated only as a mailbox transfer. Gooroo scopes Microsoft 365 projects around the existing working environment and how the business needs to operate after the move.

Planning a move from Google Workspace to Microsoft 365?

A migration can involve much more than moving email. Depending on the business, it may also involve domains, historical data, user accounts, Outlook profiles, Office applications, devices and collaboration tools.

The right scope depends on the existing environment and how the business needs to work afterwards. Understanding those dependencies before the move helps avoid small technical problems becoming everyday workflow issues.
