Client case study: hosted email migration

Moving a Service Team from Hosted Email to Microsoft 365

Cleaning Neways wanted to replace an ageing hosted-email arrangement and move into a simpler Microsoft 365 environment.

Gooroo planned and completed the migration, giving the team larger mailboxes, individual Microsoft 365 licences, and a more practical platform for everyday work.

The business

Commercial cleaning supported by dependable business email

Cleaning Neways provides commercial cleaning services to organisations across the Northern Rivers, with email supporting much of the communication behind that work. The team relies on it for customer correspondence, coordination and everyday administration, so dependable access is important throughout the working day.

The business was already using Microsoft applications for documents and other routine tasks. Moving email into Microsoft 365 created a more consistent working environment, while also simplifying how mailboxes, licences and user access could be managed.

The Project

Migrate hosted business email to Microsoft 365, restructure individual and shared mailboxes, assign licences, transfer email data and prepare users for cutover.

The challenge

Why the hosted email arrangement needed to change

Cleaning Neways had been working with a hosted-email arrangement that no longer suited the way the business operated. Mailbox capacity was becoming restrictive, while email and Microsoft applications remained managed through separate arrangements.

With Microsoft applications already part of everyday work, moving email into Microsoft 365 provided a practical way to simplify the environment. It also created an opportunity to rethink how accounts, licences and business addresses should be structured for the team.

Mailbox capacity had become a practical issue

The existing mailboxes were approaching their available limits, resulting in warnings that inboxes were running out of space. That had become more than a technical inconvenience because email formed an important part of daily business communication.

The migration therefore needed to preserve the agreed email history while providing enough capacity for continued use. Microsoft 365 offered a more suitable foundation without requiring the team to keep managing mailbox space around the limits of the previous service.

Shared licensing no longer matched the team

The existing licensing arrangement also needed attention. Cleaning Neways wanted team members to have clearer individual access rather than continue relying on licences shared across the business.

That meant determining who required an individual Microsoft 365 account and how shared business addresses should work alongside those accounts. Resolving those details before migration helped create a cleaner structure that better reflected how the team actually worked.

More than copying email

The destination had to match how the team worked

The migration was not simply a matter of creating Microsoft 365 accounts and moving email into them. Cleaning Neways used a mix of individual addresses and shared business addresses, so the new environment needed to reflect how people actually communicated and worked each day.

Before anything was moved, Gooroo mapped the required users, mailboxes, aliases and Microsoft 365 licences. This allowed individual team members to have their own accounts while shared addresses remained available where several people needed access or sending rights.

The design questions

Several practical decisions needed to be resolved before migration:

The approach

Designing the Microsoft 365 environment before cutover

Before the migration began, Gooroo reviewed how Cleaning Neways was using its existing email addresses and Microsoft applications. Individual users, shared business addresses and aliases were identified, then mapped into a Microsoft 365 structure that matched their different purposes.

That preparation also covered licensing, user accounts and the workstations that would need attention during cutover. Completing those decisions early reduced uncertainty during the live migration and allowed the weekend work to focus on moving services, reconnecting users and confirming everything worked as intended.

Scope of delivery

The migration

A planned weekend cutover with practical follow-up

The live migration was scheduled over a weekend to minimise disruption to Cleaning Neways during its normal working week. With the Microsoft 365 environment, user accounts and workstation requirements already prepared, Gooroo could concentrate on moving the domain and email services while keeping the transition controlled.

Once the mailboxes were moved, access was checked against the structure planned before cutover. This included confirming that individual users could reach their email, shared business addresses remained available to the right people, and Microsoft 365 licences were working as intended.

When one item did not synchronise

Zach described the migration as pretty seamless, although one item did not synchronise correctly after the move. Gooroo investigated the issue and resolved it promptly, rather than leaving the team to work around the problem.

That follow-up formed an important part of the migration. A successful cutover is not simply measured by whether email reaches Microsoft 365, but by whether the team can return to work with everything functioning as expected.

The outcome

A simpler email and Microsoft 365 arrangement

Cleaning Neways finished the migration with business email and Microsoft applications brought together within one Microsoft 365 environment. Team members now had individual licences aligned to their roles, while shared business addresses remained available where broader access was required.

The move also removed the mailbox-capacity pressure that had affected the previous hosted-email service. More importantly, the new arrangement gave the business a clearer structure for managing users, email and Microsoft applications, with local support available when something needed attention.

Email and Microsoft applications under one platform

Greater mailbox capacity for ongoing use

Separate licences aligned to team members

Prompt support when an issue appeared

“We were looking to simplify our older email setup and bring everything together under Microsoft 365. The weekend migration was pretty seamless, and when one item did not sync, Gooroo sorted it straight away. We now have greater mailbox capacity and separate licences for the team.”
